Terms and Conditions

Please read these Terms and Conditions carefully before making a booking. No booking obligations can be created online or by phone unless you accept these terms. By completing a booking, you confirm your agreement.

1. Bookings and Payments

Bookings can be made online or by contacting us directly.
Only children from the same family (siblings) may be included in the same booking.
Any sibling/family discount applies to siblings only.
Group bookings must be made by contacting the Happy Vibes team directly.
Payment (or payment of a deposit, where applicable) is considered acceptance of these Terms and Conditions.

2. Age Guidelines

Happy Vibes kids camps are for children aged 4 to 11.
We recommend that children who are not yet in primary school are at least starting the second year of the Early Childhood Care and Education (ECCE) programme, to ensure they are ready to enjoy the camp experience.

3. Medical and Personal Information

Parents/guardians must provide accurate and complete information about their child/children, including age, medical conditions, allergies, and any additional needs.
This information helps us create a safe and welcoming camp environment. We may request further clarification if needed.
If any medical or personal information changes after booking, you must inform us before the camp starts.

4. Supervision and Responsibility

Happy Vibes is responsible for children only during official camp hours.
We cannot be responsible for children left unsupervised before drop-off time or after pick-up time.

5. Instalment Payments (If Offered)

If you choose instalment payments, instalments will be charged automatically until the full camp fee has been paid.
All camps must be paid in full at least two weeks before the start date.
Any outstanding balance will be charged automatically to the card on file.

6. Dates and Camp Schedule

All Happy Vibes camps are priced the same, as each camp provides 20 hours of guided activities and care.
4-day camps run from 9:00am to 2:00pm to ensure a full 20-hour experience.
Summer camps run Monday to Friday, from 10:00am to 2:00pm.
Happy Vibes reserves the right to change dates, locations, or activities if necessary due to unforeseen circumstances or operational requirements.
Activities may be adapted depending on weather conditions, group needs, or safety considerations.

7. Health, Safety and Behaviour

At Happy Vibes, children’s wellbeing, safety, and enjoyment are at the heart of everything we do.
By accepting a camp place, parents/guardians agree that Happy Vibes and its team cannot be held responsible for accidents or loss of personal belongings.
Children whose behaviour is seriously disruptive or harmful to the wellbeing of the group may be removed from the camp. In such cases, no refund will be issued.
Permission is granted for your child to receive medical treatment in the event of an emergency.

8. Medication and Medical Support

Happy Vibes staff do not administer medication or monitor medical conditions.
Children attending camp must be able to manage their own medication, unless a parent/guardian is present to do so.

9. Parent/Guardian Access to Venues

To ensure camps run smoothly, parents/guardians should not enter the premises during the day.
Any request for access must be arranged in advance by contacting the Happy Vibes team.

10. Personal Belongings and Lost Property

Please ensure all personal belongings are clearly labelled.
Happy Vibes is not responsible for lost or forgotten items.
Any items not collected after the final day may be donated to charity.

11. Phones and Mobile Devices

Mobile phones and personal electronic devices are not permitted during camp, unless special permission has been agreed in advance with a member of staff.

12. Photography and Media

Photographs and/or videos may be taken during camp activities for promotional and informational purposes.
You can simply opt out of promotional photos/videos in our booking form.

13. Data Protection and Privacy

All personal data collected by Happy Vibes is used solely for camp administration purposes and communication with families.
We do not share personal data with third parties.
This is in accordance with Irish Data Protection Laws and the General Data Protection Regulation (GDPR).
